What a great task list looks like
Est. 0.5 h · estimate · draft
A worked, fully fictional example: replacing a pressure transmitter. Every craft, support crew, hold point and wait is its own line, in the order the work really happens.

Teaching callouts
1Lead with the call and the permit
Operation 0010 makes the permit and job walk a scheduled step with an owner, not an assumption. It is the first gate every other operation waits on.
2Ops make-ready is its own operation
Isolation and LOTO belong to operations' work center so their hours show up on the schedule and capacity, instead of hiding inside the craft's time.
3Sequencing in steps of 10
Operations are numbered 0010, 0020… in the order the work happens. Gaps of 10 leave room to insert a step later without renumbering. Relationships (finish-to-start) can be added in the order for scheduling tools Unverified.
4Sub-operations for support crafts
Crane and rigging are sub-operations (SOp 0010, 0020) under the lift they support. They share the parent's timing, so support crews get booked for the same window without cluttering the main sequence Unverified.
5QC / QA hold points
Inspections are separate operations under a QC work center so they cannot be skipped and work cannot proceed until they are confirmed. The second QC step is the joint integrity hold point before heat trace and insulation cover the joint.
6External and lag operations
Operation 0100 uses an external control key and a LAG work center with zero work but 24 h duration. It holds the schedule open for a vendor or lead time without consuming in-house labor Unverified.
7Loop check closes the I&E work
Calibration and loop check are explicit with as-left records, so the job is not "done" until the signal is proven at the control system.
8End with operations accepting the equipment
Return to service and sign-off is the last operation, owned by operations. It is the handback point the scheduler confirms against.
Columns that matter
| Control key | PM01 = internal labor (confirmable, costed by activity type). PM02 / PM03 = external service or purchased labor, generating a purchase requisition with cost element, purchasing group and material group Unverified. |
| Duration vs work | Work = total labor hours (persons × duration). Duration = elapsed time. Two people for 2 h is 4 h work but 2 h duration. Schedulers plan the calendar on duration; capacity uses work. CK (calculation key) tells the system which one to derive Unverified. |
| Activity type | Links an internal operation to a labor rate for cost planning (example values only: LAB-MECH, LAB-INST) Unverified. |
| Purchasing columns | External operations carry cost element, purchasing group and material group so the requisition routes to buyers without manual edits Unverified. |
| % (work percentage) | Optional split of work across resources; often left blank on a simple list Unverified. |
Reading the colors
- HighSafety or quality gate: permit, isolation, QC/QA hold points, loop check, return to service.
- MediumCritical-path steps: pull and install, lifts, external lag.
- LowSupport steps that still need a crew booked.
